Residential Service Charge Management is a division of our Property Management Department, with a team of highly trained and experienced staff who are dedicated to this specialised service.

Service Charge Management is the management of all matters relating to the common parts of blocks of flats, commercial buildings and other residential properties with shared, unadopted grounds. It includes the following:

  • Collection of service charges
  • Collection of ground rents
  • Organising maintenance and repairs
  • Arranging Insurance
  • Planning annual budgets
  • Advising on leasehold enquiries
  • Management of accounts
  • Site visits
  • Arranging meetings

Service Charge Management is primarily about the correct and efficient administration of the covenants contained in the leases, thus assuring a harmonious and enduring relationship between landlord and tenant, in everyone's interest.

We act as Managing Agents for Freehold Management Companies, Leasehold Management Companies, Right to Manage Companies and for the growing number of Residents Associations who are acquiring their own freeholds. Whether acting for a professional body or for a lay party, our service is tailored to your specific requirement.

Collection of Service Charges

This includes invoicing leaseholders according to the terms specified in the individual lease, and maintaining a separate, individual client's account for each individual contract. We routinely follow up overdue amounts, through to instruction of solicitors if necessary.

Collection of Ground Rents

For Freehold Management Companies, we invoice and collect Ground Rents according to the terms of the lease, and hold monies in a separate account or pay to the freeholder upon demand.

Organisation of Maintenance and Repairs

From routine maintenance such as communal and window cleaning, gardening and Health & Safety inspections to minor, structural and long term repairs, we organise quotations, instruct local and suitably qualified contractors and arrange payment as necessary. When appropriate, the correct Consultation Procedure is followed to comply with current legislation.

Arranging Insurance

We ensure that the property has sufficient buildings insurance and that the Company Directors have Directors and Officers' Liability Insurance.

Planning Annual Budgets

Detailed annual budgets are prepared, taking into account sinking and reserve funds accordingly. Budget spreadsheets are always available for all leaseholders to inspect.

Advising on Leasehold Enquiries

Ensuring compliance with lease terms and statutory requirements, we will happily explain these to leaseholders if required. Additionally, we ensure prompt response to solicitor's Leasehold Enquiries, to ensure sales/purchases proceed to completion as smoothly as possible.

Management of Accounts

From management of each individual leaseholder's account to preparation of annual accounts if required, our trained staff and computerised specialist system provides accurate and up to date information at all times.

Site Visits

We are always available to arrange site visits as often as possible to meet contractors, oversee maintenance or inspect reported maintenance issues.

Arranging meetings

In order to comply with a company's Memorandum and Articles of Association where appropriate, we can arrange, serve notice of and attend Annual General Meetings and any additional meetings when required.
